This is particularly useful for events with larger guest counts, parallel sessions, or multi-day programmes that require different room configurations at different times. The events team can advise on how the property's spaces work together to meet a specific event's needs.

Velvet Clarks Exotica is located in Zirakpur, Punjab, which sits close to Chandigarh International Airport, making it a convenient choice for events drawing guests from outside the region. The property's position along National Highway 7, the Ambala–Chandigarh corridor, also ensures strong road connectivity for guests travelling by car or hired transport. The exact travel time from the airport should be confirmed based on current road conditions and the guest's point of origin.

Zirakpur lies along a well-established road corridor connecting Delhi and Chandigarh, making Velvet Clarks Exotica accessible for guests travelling from across North India. The township's location on National Highway 7 means guests arriving by car, bus, or hired vehicle from Delhi, Ambala, Panchkula, or Mohali can reach the property with relative ease. The events team can share directions or coordinate guest logistics upon request.

Velvet Clarks Exotica is a hotel property and offers on-site guest rooms, which is a practical advantage for corporate events or celebrations where attendees are travelling from out of town. Guests can move between event sessions and their accommodation without leaving the property. Room availability and group booking rates should be confirmed directly with the hotel's reservations team.

The in-house events team at Velvet Clarks Exotica works with organisers to customise the layout, staging, and ambient décor of Wing Ding to suit the occasion. For social events such as birthday parties or pre-wedding functions, thematic decoration can typically be arranged, while corporate events can be set up in theatre, classroom, or boardroom-style configurations. Specific décor preferences and any external decorator policies should be discussed with the team at the time of booking.

As a hotel property in Zirakpur, Velvet Clarks Exotica is expected to offer parking facilities for guests. Hosts planning large events in Wing Ding should confirm parking capacity and any arrangements for managing high vehicle volumes with the property's events or operations team in advance. This is especially relevant for events where a significant number of guests will be arriving by private car.

Wing Ding's versatile, hotel-managed environment makes it a suitable option for pre-wedding celebrations including mehendi ceremonies, cocktail receptions, and sangeet evenings. The hotel's catering and service staff can support such events, and the events team can advise on décor, entertainment logistics, and any operational requirements specific to these formats. Availability for wedding-related functions should be checked well in advance, particularly during peak wedding seasons.

Booking lead times vary depending on the time of year and the nature of the event. For large social events such as wedding functions, or for corporate events requiring extensive coordination, it is advisable to make an enquiry several months in advance. The events team at Velvet Clarks Exotica can confirm current availability and advise on how early a booking should be secured to guarantee the preferred date.

Policies on external vendors, decorators, and entertainment providers vary by hotel property and are typically subject to certain conditions or fees. Organisers who wish to bring in outside florists, photographers, or entertainment acts should discuss the hotel's vendor policy with the Wing Ding events team before confirming any third-party arrangements. Clarifying this early helps avoid coordination issues closer to the event date.

Cancellation and rescheduling terms are set by Velvet Clarks Exotica and may vary depending on the event type, booking value, and how far in advance the cancellation is requested. Prospective clients should review these terms carefully before signing a booking agreement and raise any questions directly with the events team. Understanding the policy upfront protects both parties in case of unforeseen changes to event plans.
